Why list cleaning matters

Mailbox providers judge you partly on how many messages bounce. A list full of dead addresses signals that you don't practice good hygiene — and they respond by filtering more of your mail to spam. Spam traps (addresses specifically planted to catch senders who don't clean their lists) are even worse: hitting one can get you blocklisted.

The step-by-step process

• Export your list from your CRM or email platform as a CSV or XLSX.
• Verify every address with a verifier that scores results rather than guessing.
• Segment by result: keep the good, suppress the bad, and set the risky aside.
• Remove the bad addresses from your active sending segments entirely.
• Review the risky bucket — catch-all and role accounts — and decide case by case.
• Re-import the cleaned list and keep the removed addresses in a suppression list so they never sneak back in.

What to do with 'risky' addresses

Risky doesn't mean bad — it means low confidence. Catch-all domains accept everything, so a specific mailbox can't be confirmed. Role accounts (info@, sales@) are real but often shared and prone to complaints. A reasonable policy: send to risky addresses only in well-warmed, engaged segments, and drop any that don't engage after a few sends.

How often should you clean?

Verify at capture so bad data never enters, then re-verify your active list every 3–6 months (monthly if you send high volume). Always verify before importing a list you didn't collect yourself.
